How to Share a Form in Dubsado: A Step-by-Step Guide

Forms in Dubsado are more than just online documents—they are key players in keeping your business organized and your client experience running smooth! Think of forms as your behind-the-scenes virtual assistant, quietly gathering information, locking down contracts, and wowing your clients without breaking a sweat.

So, what kinds of forms are we talking about?

  • Questionnaires: Perfect for understanding your client’s needs from the start. Use them to check in and collect feedback during the project and to capture testimonials at the end!
  • Contracts: No more chasing signatures—get everything signed, sealed, and legally valid in one place.
  • Proposals: Combine service packages, pricing, and FAQs into one sleek document to make it easy for clients to say yes.
  • Lead Capture Forms: Turn those website visitors into potential clients by collecting their details seamlessly.

Why are these forms such a big deal? Because they’re doing the heavy lifting for you. From onboarding to project management, Dubsado forms are designed to make your workflow work—streamlining client communication and giving you back the time and energy to focus on what you do best.

3. Customize the Fields

Think about what you need from your clients: basic contact info, project preferences, or maybe a more personal “Tell me something fun about yourself” field. Add text boxes, dropdown menus, checkboxes—whatever suits your process.

4. Add Your Branding Elements

This is where your form goes from good to wow. Drop in your logo, tweak the colors to match your brand palette, and select fonts that scream you. A little attention to detail here makes your form look polished and professional.

5. Test, Test, Test

Before hitting “share,” test your form like a client would. Check for typos, ensure the fields work correctly, and make sure the form flows seamlessly. Trust me, a quick test now saves you a lot of headaches later.

Once you’ve followed these steps, you’re now ready to share your forms!

How to Share a Form in Dubsado

Once you’ve created your form, it’s time to get it out into the world (or, at least, to your clients). Dubsado makes sharing your forms simple and versatile, so you can choose the method that works best for your business. Here’s how:

Direct Email via Dubsado

This is the classic way to share a form:

  1. Go to the Client’s Project: Head to the specific client or project you’re working with in Dubsado.
  2. Send Forms Directly from the Project: Easily send forms right from the Form tab within your client’s project. Just locate the form you need, hit ‘Send,’ and enter the recipient’s email. Remember, the form is not an attachment but a clickable button in the email, ensuring it stays intact and accessible. This feature is specific to the Form tab, so you won’t find it under the Inbox/Email tab.
  3. Click Send: That’s it! The form is delivered to your client, ready to be filled out.

This method is perfect for one-on-one interactions when you want a personal touch.

Sharing via a Public Link

Looking to share some of your forms? Remember, not all forms are shareable—only Lead Capture (LC) forms and Public Proposals can be shared via a public link. Here’s how to do it:

  1. Generate a Link: Create a shareable link directly from the form’s settings, but keep in mind this feature is exclusive to Lead Capture forms and Public Proposals.
  2. Distribute the Link:
    • For Lead Capture Forms: Use this link into your social media posts to spark interest and gather leads during promotions.
    • For Public Proposals: Embed the link in emails to potential clients, simplifying the process for them to review and respond to your proposals.

Embedding Your Lead Capture Forms and Public Proposals on Your Website

You can embed only Lead Capture forms and Public Proposals directly onto your website to make them an integral part of your client experience:

  1. Copy the Embed Code: Navigate to the form’s settings and grab the embed code—remember, this option is available only for Lead Capture forms and Public Proposals.
  2. Insert the Code: Paste the code into your website’s HTML wherever you’d like the form to appear.

With this feature, potential clients can fill out your Lead Capture forms right on your website or easily review and accept Public Proposals. It’s a smooth, professional way to enhance client interactions. Learn more about the Dubsado Embed Scheduler here!

Including in Workflows

Want your forms to work for you? Integrate them into workflows:

  1. Add the Form to a Workflow: Choose the form you need and add it to an automated workflow in Dubsado.
  2. Set Triggers: Assign actions (like an inquiry submission or invoice payment) to automatically send the form at the right time.

This method is a game-changer for automating repetitive tasks and delivering a polished client experience.

Experiment with these methods to see what works best for different parts of your business. Whether it’s a personalized email, an embedded website form, or a fully automated workflow, Dubsado gives you the flexibility to share forms your way!

Tips for Sharing Dubsado Forms

Your clients should feel guided and supported every step of the way. Here’s a few things to keep in mind:

Use Clear Instructions: Don’t leave your clients guessing! Add short, helpful notes within the form to explain what information you need and why. For example, “Please provide your preferred dates for the project start—this helps us schedule efficiently.”

Automate Reminders: Let Dubsado do the heavy lifting by setting up automated follow-up emails for incomplete forms. A friendly nudge ensures your clients stay on track without you lifting a finger.

Track Form Completion: Use Dubsado’s built-in tracking tools to see who’s completed their forms and who needs a little extra encouragement. This keeps your workflow moving and avoids delays.

Common Dubsado Form Questions

When it comes to sharing forms in Dubsado, you might have a few questions. Here are answers to some of the most common ones to keep your process smooth and stress-free:

Can I password-protect a form? Absolutely! You can add an extra layer of security by setting a password for your form. This is especially useful for sensitive documents like contracts or proposals. Simply enable the password protection option in the form’s settings.

What happens if a client doesn’t complete a form? Don’t worry—Dubsado has your back. You can set up automated reminders to gently nudge your clients to complete their forms. Plus, you can track incomplete forms in your dashboard so nothing slips through the cracks.

Can I edit a form after sharing it? Yes, but with a caveat! If the form hasn’t been submitted yet, you can make changes without any issues. However, if a client has already started or completed the form, it’s better to create a new version to ensure consistency and avoid confusion.

How do I know if a client has submitted a form? Dubsado makes it easy to stay in the loop. Once a client submits a form, you’ll receive a notification, and their response will be saved in their project or profile. No more wondering or chasing down submissions!
